How it works

A good invoice has five parts: who (your business), whom (the client), what (line items with quantities and rates), tax, and the total due.

Line total = Quantity × Rate

Amount due = Subtotal − Discount + (Subtotal − Discount) × Tax rate

What should a contractor invoice include?

Your business name, client name, invoice number, date, itemized line items (description, quantity, rate), subtotal, tax, discount if any, total due, and payment terms.

How do I number my invoices?

Use a simple sequence like INV-1042, INV-1043. Never reuse numbers — sequential numbering is also what tax auditors expect to see.

Should I charge sales tax on labor?

It depends on your state. Some states tax contractor labor, some tax only materials, some tax neither for certain trades. Check your state revenue department before deciding.

What payment terms should I put on an invoice?

"Net 30" (due in 30 days) is the standard. For large jobs, many contractors require a deposit upfront and milestone payments instead of one final invoice.

How do I handle a discount on an invoice?

Show it as its own line: subtotal, then discount, then tax on the discounted amount, then total. This calculator applies tax after the discount, which is how most states require it.

Can I email a PDF instead of printing?

Yes — use the Print / Save PDF button and choose "Save as PDF" in the print dialog. A PDF looks professional and creates a timestamped record.

What if a client disputes a line item?

Itemized invoices are your defense: each line ties to work performed or materials bought. Keep photos, receipts, and any change orders that back up the lines.

How long should I keep invoices?

At least 3–7 years for tax purposes (the IRS generally looks back 3 years, 6 if income is underreported). Digital PDFs count.

Do I need special software to invoice?

No. For a handful of invoices a month, a clean generated PDF like this one is plenty. Move to accounting software when you need recurring invoices, reminders, and tax reports.

What is the difference between an invoice and a receipt?

An invoice requests payment for work done — it creates a debt. A receipt confirms payment was received — it settles the debt. Send the invoice first, the receipt after you are paid.
